AGM, Membership categories, and Halloween

This post we have a couple things to discuss: a party (yay!) and how we are going to resolve our SRC issues (doubleyay!).

Membership Categories

As a result of communication between Ray and the SRC (i.e. he asked them what they actually wanted), we have received a clear answer regarding what they would be happy with. Pending confirmation at the AGM, this is what would happen:

Three classes of members would exist. The three classes are as follows:
1) Student Members, with full voting rights, forming no less than 80% of the membership

2) Non-Student Members, with full voting rights, forming no more than 20% of the membership

3) Friends of GUGS, defined as non-student honorary members, with no voting rights.

The benefit of this is simple: we can register all our non-students as members, giving them cards and whatnot, but fulfill the SRCs criteria by only allowing a certain number of them to possess voting rights. I suspect that most people value their ability to roll dice higher than their ability to vote, so this works well for us by allowing us to have our student cake and eat our (non-)student cake.

Halloween

AGM

The committee hereby gives notice that the AGM will be held on the 4th of November. If you are planning on running for a position, please do!

A blast from the past...

Finally, those who are despairing over the modern society's ability to get itself into trouble might enjoy a look at this letter, written to the then-president in 2001, which reads amazingly closely to the problems that have affected the society in recent years. Not just our generation that has problems!

Historical Documents Uploaded!

A quick post here to inform you all that the minutes for the years 1990-2003 have now been digitised and can be read over on the Documents page. Among other things, they reveal that at one time our society had £1450 in a bank account, that problems between the non-students and students is at least a decade old, and that there is a long tradition of integrating bad jokes into the minutes.

Let us know if there is anything else that you would like to see: membership lists have also been digitised, but they are not suitable for sharing on the internet openly, even though they contain a great deal of interesting information about membership numbers and games played over the years.

This Friday GUGS is teaming up with the rest of the blessed quadrangle of Geekdom – GUMAF, PAUSE and IO – to shoot and drink. In that order! We are heading to Laser Planet, directions for which you can find through the map widget below or the company's website found here, in order to start the carnage at 6pm this Friday the 17th. Long may it live in memory as the day on which GUGS achieved supremacy over all other geeks, nerds and dorks! Then we will either celebrate our win or commiserate our loss by drinking and dancing at the QMU’s Friday Night Magic event. Don’t miss out on what should be an awesome event!

Wargames and Crafts Fun Day!

Today is our Wargames and Crafts day, held in the QMU as normal! There will people knitting, people painting, and generally a happy air of industry and nerdity. Sounds great, right? So why not come along and show us your talents? The QMU's Cafe 22 will be open as normal, so you can get yourself something to chow and chew at the same time.

SRC AFFiliation, Membership Cards and Games!

There are a few vaguely exciting things to pass along this week. Read on for vaguely exciting information!

Start of the Campaigns!

This Tuesday the 7th our year-long RPG campaigns will be starting again, which is a cause for great excitement among men, women and beasts. We hope to see you rolling those 4d6 drop lowest (or equivalent) as we begin our journeys into the magical realm of wonder known as the Food Factory. 

Don't forget to keep an eye out on the game signup sheets, and to let us know how it goes! The committee is keen to hear stories of derring do, feats of bravery, and accounts of terrible stupidity, as appropriate for each campaign. 

Membership Cards

I've put an order in for 250 business cards to be delivered to my very door by Vistaprint. These should arrive by next Monday, meaning that we can hopefully be dishing these out on Tuesday the 14th. A laminator will be on hand for extra professional looks and deviant sexual acts, as required. 

SRC Affiliation

Our illustrious president has attained for us the lofty heights of SRC affiliation, which means that we won't be disbanded and hounded into the streets like dogs. So that is good. We still need a long-term solution to our problem with the SRC, which as previously noted will be a feature of the upcoming AGM. Said AGM will also be your opportunity to stand for a committee position, in order to help out the society with all sorts of cool and exciting tasks!*

Plan for SRC Affiliation Problem; Committee Meeting Minutes

What has happened?

As many of our members are aware, GUGS was refused SRC affiliation this year, thanks to our membership numbers being unacceptably weighted towards non-student members. This has not only meant that we were refused a Fresher's Faire stall, but also that we need to demonstrate to the QMU that we are willing to bring the ratio of our members back into the 80%/20% students/non-students ratio that they specify. To achieve this, the committee has agreed to follow a plan proposed by James Thornbury.

The Plan

When memberships are handed out, GUGS will only grant membership to currently matriculated Glasgow University students. Thus the society will become 100% student-membership. At the same time, a new society is to be formed, one composed exclusively of non-student members, entitled Glasgow Gamers Association. GGA will exist for the stated purpose of fundraising for GUGS, which it will do in the main by progressing membership dues from its own members to the main GUGS fund. In return, GGA members will attend GUGS events and games, abiding by the rules and decisions of the GUGS committee. They will be guests of GUGS, which in practice means that GUGS members will have to sign them into the QMU (which is something that was commonplace at GUGS not very long ago), but otherwise isn't envisaged as actually changing the day-to-day running of games at GUGS in any way.

This new society will elect its own executive committee, have its own constitution, and hold its own AGMs and EGMs as normal. It is currently envisaged that it will do these things at the same time that GUGS does the same, requiring space timetabled at the AGM for their elections.

What does this Achieve?

In short, it allows GUGS to continue to exist as a student society, while permanently removing the membership quota issue. (Other solutions mainly involve us enforcing the SRC membership quota limit ourselves, which will result in current members not being allowed to attend GUGS in the future.) This solution also ensures that non-student members have say over their own society, even if that society is explicitly subservient to the main society.

When will this take place?

In terms of membership, only students are going to be allowed to join GUGS at this time. Non-student members will simply have to be signed into the building for the meantime. GGA itself will come into being during the next GUGS AGM, at which point the prospective members of this society will be solicited to run for its executive positions.

Where is the Constitution for this new Society?

James Thornbury has provided a draft constitution, based upon the SRC's guidelines to societies, which can be found here. This will need to be ratified at the AGM, along with the very existence of the society, but in the meantime comments and suggestions should be directed to him (@jamesthornbury on Twitter).

Crawl of Thrones

Leicester have kindly provided up with a copy of the Student Nationals pack, which you can find here and on the website's documents page. Signups and other such things will most likely have to wait until after the AGM, but for the moment you can peruse the document at your leisure.

New Documents Page!

The website has expanded to now include a documents page. This will be your essential source of all the GUGS documents, such as minutes and the constitution. If anyone has digital versions of old minutes and suchlike, then they are recommended to send them in to us here, so that they can be uploaded. It is hoped that the website will be able to act as an archive for our society's history, for those who are interested to look at the past.
